Build the day around the actual departing flight

Check the flight number, local calendar date, airport and terminal, then obtain your airline’s check-in, baggage-drop and boarding deadlines. Plan backwards through the airport formalities and the complete hotel-to-terminal journey. The printed takeoff time is not the time to arrive at check-in.

This guide connects the final day of a first mainland-China trip, using Beijing and Shanghai as planning examples. Source text reviewed 18 October 2026. It does not decide your immigration status, eligibility for automated checks, current queue time or an individual airline’s allowance. If your first flight is domestic with an onward international connection, ask the airline to identify the departure and baggage steps for each segment rather than applying a direct international-departure plan to the whole booking.

The evening before: make one departure note

Keep these details together, somewhere you can read if mobile data fails:

  • Flight number, operating airline, local departure date/time, airport and terminal. For a flight just after midnight, check which evening you must leave the hotel.
  • The airline’s required airport-arrival time and separate check-in, bag-drop and boarding deadlines for your flight.
  • Hotel checkout, any agreed bag-storage collection, the route to the actual terminal and a workable fallback.
  • Passport, booking reference and travel documents required for your destination and any transit points.
  • Your ticket’s checked/cabin baggage allowance and the airport/airline’s current restricted-item instructions.

The list is an editorial planning aid. Storage, late checkout and transport arrangements need confirming with your own property. Use the Beijing airport guide or Shanghai airport guide to choose the airport connection, then search the departure direction for your actual date. An arrival screenshot is not a return timetable.

Beijing Capital’s passenger notice separates check-in from gate times and says airline information prevails. It also states that baggage dimensions, quantities and free allowances are set by carriers. Do not assume every economy ticket includes the same suitcase weight.

Keep the three deadlines separate

Check-in deadline: when the required check-in must be completed. Joining a queue at that minute is not completion.

Baggage deadline: when bags must have been accepted. Online check-in does not place a suitcase in the hold.

Boarding deadline: when you must be at the gate and ready to board. There are still checks and walking after the counter.

Shanghai’s 2 July 2024 airport announcement explicitly defines its cutoff as completed check-in and baggage check, lists carrier exceptions and directs passengers to airline announcements. It is dated guidance, not a current deadline lookup. This guide gives no universal “arrive three hours before” guarantee or current airport-wide cutoff table.

Leave the hotel with the whole journey accounted for

Before checkout, confirm you have your passport, phone, booking details, bags and required documents. If leaving bags for a final walk, agree on collection access and include the return to the hotel in your plan. Cut the walk if it threatens departure preparation.

Search the airport plus terminal, check the direction, transfers and final approach, and keep a road alternative if rail does not fit. Use the maps and address workflow to save a readable destination. Do not substitute Hongqiao railway station for an airport terminal, or Beijing Capital for Daxing.

Our planning method is to add hotel tasks, bag collection, the full transfer and a contingency margin to the airport preparation your airline requires. These are separate allowances; there is no measured door-to-door time behind this guide. If the flight or terminal changes, redo the route and deadlines rather than keeping the old note.

At the terminal: complete check-in and baggage handling

Match your flight number to the departures display and find the correct airline counter or service point. Have the original valid passport, booking reference and required onward-travel documents accessible. Ask staff to resolve a name or document discrepancy before proceeding.

If online check-in, a machine or a boarding-pass download fails, use the airline’s staffed counter while enough time remains. Failure to produce a pass is a reason to ask for help; it does not by itself establish that the flight booking is cancelled.

For example, Air China’s self-service FAQ limits kiosk services by flight and location, directs printing failures to its counter, and keeps baggage acceptance subject to the flight deadline. These are carrier-specific instructions, not proof that every foreign passport works at every airport machine.

When checking a bag, confirm the accepted destination and keep the baggage record. For connecting travel, ask which segments are covered and whether you must collect and recheck bags. A single booking reference is not a reason to skip that question.

Follow the airport’s departure checks

Check-in, Customs, border inspection and aviation security serve different purposes. Use the signs and staff for your actual terminal: the Beijing Capital departure guide itself provides separate domestic and international T2/T3 processes. This article does not prescribe one national order or a fixed desk location.

  • Customs and goods: if you have goods to declare or are unsure about taking an item out, ask the airport Customs service before the item becomes inaccessible in checked baggage. This is separate from permission to enter your next country.
  • Shopping tax refund, only if applicable: check the Shanghai tax authority’s current departure guidance and the instructions for your actual port. Keep the goods and documents accessible, and establish the applicable Customs and refund-agency steps before handing over a suitcase containing them.
  • Border inspection: keep your passport and applicable stay/travel documentation available. Follow the channel you are directed to; this guide does not promise an automated gate or tell every nationality to complete the same form. For a lost document or unresolved stay issue, use the official-help routes and your relevant consular service before treating this as a routine airport task.
  • Security: have the accepted boarding pass and identity document ready and follow screening instructions for yourself and cabin bags. Check current rules for liquids, batteries and other restricted items while packing; do not solve an uncertainty by moving an item into the hold without checking whether that is allowed.

Find the gate before taking a break

Match the current display to your flight number, check the gate and boarding time, and allow for the route to it. When a pass says “TBD” or the gate changes, ask staff or use current displays. Air China’s online FAQ, question 11 specifically warns that flight and gate information can change after early check-in.

Our suggestion is to locate the gate before committing to a meal or shopping. Keep announcements and flight status in view. Passing security does not complete boarding.

If something goes wrong

You reach the wrong terminal or transport stops: ask the airport’s staffed information service for the appropriate connection, and tell the airline if the deadline is at risk. Do not assume a shuttle journey or missed check-in can be recovered within a fixed number of minutes.

Your pass is missing or your phone fails: bring your passport and booking reference to airline staff. Air China’s online FAQ, questions 8, 9 and 17–18 describes staffed printing and reprinting, plus separate bag handling. Other carriers’ procedures need their own confirmation.

The flight is delayed, cancelled or missed: use the operating airline and your actual ticket seller for the order. Obtain the confirmed next arrangement before rebuilding transport or accommodation. This guide promises no automatic refund, hotel, compensation or protected connection. If the rail part of your trip changes too, use the separate train-change task.

These are teaching examples to adapt to your flight:

Where is the check-in counter for this flight?
请问这趟航班在哪里办理值机?

I checked in online, but I cannot get the boarding pass.
我已经在线值机,但无法获取登机牌。

Is this bag checked through to my final destination, or must I collect it during the connection?
这件行李是直挂最终目的地吗?还是需要在中转时提取?

Finish with your personal checklist; a tick records your preparation, not airline acceptance or completed border formalities.
