Keep the original booking document with you
For a passport-linked e-ticket, take the original valid passport used to make the booking. Keep the train and seat details as a separate reference. A trip-information screenshot can help you find the gate, but should not be treated as the document that establishes your right to board.
Source text reviewed 18 October 2026: 12306’s e-ticket and itinerary-sheet answers and Shanghai’s rail boarding explanation. The latter is a railway-origin republication, not an independent station test. This guide does not confirm a specific station’s current queue, gate or check-in cutoff.
Before leaving your accommodation
Match the departure date, local departure time, train number and full station name to your confirmed booking. Plan the journey to that station’s actual departure entrance. If you saved only a city name when looking up directions, replace it with the specific station before calling a vehicle or entering the metro.
Allow a margin for unfamiliar entrances, bags, security and finding the boarding area. The necessary margin depends on your journey and the station’s instructions; no single arrival time guarantees boarding. Keep enough time to ask staff if you cannot find the correct entrance.
At station entry and security
Have the original document and booking reference accessible. Follow the station’s identity and security process. If an automatic reader cannot process your passport or the booking is not recognised, ask for the staffed channel and explain the problem using the original document and order details. Do not keep retrying an unsuitable gate while the departure approaches.
The Shanghai instructions describe both automatic and manual inspection for e-ticket passengers. That does not mean every document or every passenger is eligible for the same automated route. If assistance or step-free access is important, confirm it for the actual station and train beforehand.
Departure time is not the gate deadline
Article 22 of the Chinese railway rules says ticket checking stops before departure, with the cutoff announced at the station. The English station guidance also directs passengers to local notices. Do not aim to reach the boarding gate at the train’s departure time.
Useful display terms include 车次 (train number), 候车室 (waiting area), 检票口 (ticket-check gate), 车厢 (coach) and 座位 (seat). Match the train number first, then follow the current gate information. These translations help read the board; they do not identify today’s gate in advance.
If your document is not accepted by the reader, ask staff which assisted channel to use. The Chinese and English visitor guide describes original-document checks through automatic or assisted channels. Allow time to find that channel instead of assuming every gate can process your passport.
Find the train, then the coach and seat
Use the current departure board and staff instructions to find the boarding gate for your train number. Platforms and gates are operational details; an old screenshot or a previous trip is not a reliable substitute for the day’s display.
When boarding opens, follow the ticket check and signs to the correct coach. Match the seat number to your booking, and keep bags within the service’s current luggage rules without blocking others. This guide has not verified a detailed luggage allowance, restricted-item list or a universal gate-closing minute.
Keep the document for the exit
12306 says the identity document associated with the e-ticket is used through station entry, boarding and exit. Keep it accessible after departure as well as when you arrive. Follow the actual exit inspection; ask staff if the reader cannot process the document.
Plan the station-to-hotel leg before arrival
After completing the station exit, use the arrival station on your issued ticket as the starting point for a new map route. Keep your hotel’s confirmed Chinese name, branch and guest entrance available. These are editorial planning checks, not a verified route from a particular station exit.
Choose a metro journey you can complete or a taxi pickup with a clear meeting point. Include your bags, the final walk and the services still available at arrival time. If the train changes, redo this leg and tell the hotel about a changed arrival; do not reuse an airport transfer just because the station shares a hub name. Ask station staff if the current exit or pickup access is unclear.
If you are at the wrong station or miss the train
Contact station staff or the booking channel promptly with the original booking passport and order details. Use the changes and missed-train guide to distinguish a missed departure from an officially cancelled train, check the same-day action deadline and arrange a usable replacement. This guide does not determine a remedy for an individual order.
For future journeys, return to the booking checklist and save the correct station name alongside the accommodation’s address card.
